SUBJECT: APPROVAL FOR THE PURCHASE OF SELF CHECK -OUT
EQUIPMENT FOR THE CENTRAL LIBRARY
RECOMMENDATION:
Approve the purchase and installation of three (3) self check -out units from Libramation
for the Central Library in the amount of $43,247.00.
DISCUSSION:
Background:
The Library will install new, state of the art self check -out machines. While we never
want to remove the personalized, human element from our service, we do want to
accommodate our many customers who want the quick automated service they
experience in other venues. This is a service which most libraries now provide. Self
service equipment enhances customer service by allowing staff to devote more time to
assisting customers in other ways.
After several product demonstrations, reference contacts and price quotes, the Library
selected the product from Libramation. Their self checkout units can sit directly on
existing countertops and will afford us flexibility in placement. The price of their
equipment is significantly lower than some of than other vendors without compromising
the functionality of the equipment. Because of the affordable pricing, the Library is able
to purchase three (3) machines rather than the initial estimated two units.

Funding Availability:
Last year, the Newport Beach Public Library Foundation provided a gift to the Library
specifically designated for the purchase of self- checkout equipment. Because of the
extensive research of the product, we are ready to purchase the equipment this year.
The funds are currently allocated in the Library's operating account 4090 -9000.

Delivery:
This unit is custom made to your specifications, requires approximately 10 weeks from
confirmation of order and receipt of deposit, for delivery. This may take longer due to unforeseen
material shortages, Libramation cannot be held responsible for these delays.
Library System:
It is the owner's responsibility to obtain the software license interface from your ILS provider,
allowing SIP protocol communication.
Terms:
• Quotation is valid for 90 days from the date of this document.
• 25% deposit is required upon acceptance of this quotation.
• 75% is due and payable upon delivery of the above quoted unit.
• Overdue accounts are subject to 18% interest per annum.
Owners Responsibility:
Any wall penetration, anchoring, electrical wiring, data cable wiring, painting, etc. that is required
to install the automation equipment is the responsibility of the owner.
We trust the information provided is to your satisfaction. Libramation Inc. (LI) will assume, by the
authorized signature below, this document as a binding purchase confirmation, authorizing LI to
manufacture, and install the equipment in accordance with the specifications outlined.
