Webb, Public Works Director - 949-644-3311, dawebb@newportbeachca.gov PREPARED BY: Tom Sandefur, Assistant City Engineer - 949-644-3321, tandefur@newportbeachca.gov TITLE: Newport Beach Police Station Video Surveillance System Replacement (Project No. 24F02) - Notice of Completion for Contract No. 9500-1 ABSTRACT - On July 9, 2024, the City Council awarded Contract No. 9500-1 for the Newport Beach Police Station Video Surveillance System Replacement project to Vector Resources Inc., DBA Vector USA (Vector). The project included removing and replacing the existing video surveillance system and providing new computers and monitors in the jail and Watch Commander's office. The work is now complete and staff requests City Council acceptance and close out of the contract. RECOMMENDATION: a) Accept the completed work and authorize the City Clerk to file a Notice of Completion for the project. A summary of the construction cost is as follows: Original Bid Amount: $ 318,370.44 Actual Cost of Bid Items Constructed: $ 318,370.44 Total Change Orders: $ 3,535.00 Final contract cost: $ 321,905.44 The final total contract amount was $321,905.44, which was approximately 1.1 % higher than the original bid amount. A single change order was issued totaling $3,535.00 that included providing additional cameras and cabling in the jail and property storage areas. A summary of the project schedule milestones is as follows: Estimated Start of Construction per Annual Baseline Schedule October 10, 2024 Actual Start of Construction Per Notice to Proceed November 4, 2024 Estimated Completion per Annual Baseline Schedule December 6, 2024 Substantial Completion Date Inclusive of Extra Work January 28, 2025 FISCAL IMPACT: The Police Station Video Surveillance System Replacement project was expensed from Fiscal Years 2022-23 and 2023-24 Police Department salary savings. Funds for the construction contract were expended from the following account: Account Description Account Number Police Department Staff Savings 0103522-911024-PDCAM Total: ENVIRONMENTAL REVIEW: Amount $ 321,905.44 $ 321,905.44 On July 9, 2024, the City Council found this project exempt from the California Environmental Quality Act (CEQA) pursuant to Class 1 Section 15301(a) (interior or exterior renovations involving such things as interior partitions, plumbing, and electrical conveyances) of the CEQA Guidelines, California Code of Regulations, Title 14, Chapter 3, because it has no potential to have a significant effect on the environment. NOTICING: The agenda item has been noticed according to the Brown Act (72 hours in advance of the meeting at which the City Council considers the item).
