Re: Policy Regarding Written Documentation and Materials
At its December 17, 2015 meeting, the Planning Commission requested staff
research a policy indicating the deadline for the public to submit materials for the
Commission's consideration. Mr. Torres reviewed the City Council policy, as well
as the policy of other jurisdictions, and staff recommends including in the Rules
of Procedures of the Planning Commission (Rules), a policy similar to City
Council Policy A-6.
The following could be added to Section X, Conduct of Meetings, of the Rules:
K. Except as otherwise permitted by law, all mail or written communications
from the public/residents/applicants shall be submitted to the Planning
Commission by 5:00 p.m. on the day immediately prior to the meeting at
which the Planning Commission will consider the item that is the subject of
the mail or written communications to allow time for the Planning
Commission to adequately consider the mail or written communications.
