June 6, 1979 Mrs. Doris George, City Clerk City of Newport Beach 3300 Newport Blvd. Newport Beach, CA 92663 Dear Mrs. George: This will set forth my proposal for services to the City of Newport Beach in connection with your Records Management Program. Item 1 Index the Council Minutes for one year plus the current year resulting in a two year working record at the completion of the contract. Item 2 Establish a Master Index for the new indexing system. Item 3 Establish supporting papers in a numeric filing system paralleling basic classification catagories as initiated for the Council Minutes. Item 4 Program and lay out specific tasks for performance by employees assigned by the City as part of the training process in the new system. -g" Item 5 Establish a new Retention and Destruction Schedule predicated on new legislation governing Municipal Records. Item 6 Prepare a Procedures Manual for present and future use by the City in maintaining and utilizing its records and files. There are many additional positive results that will come out of the program. For example, a complete audit of all records in your department will be achieved. Inactive material will be almost camera ready for subsequent micro- filming program thereby eliminating costly preparation process 0 Proposal City of Newport Beach that is necessary prior of Destruction will be progresses. A Resolution submitted periodically as the program Utilizing the Cardex cabinet will be another savings of approximately $1,200.00 and the phasing out of the Lindex system will thereby gain much needed floor space as well as reduce the daily posting procedure. we will return at the first transfer period of records, from active to inactive and inactive to either destruction or microfilm, to assist staff in this procedure. For the accomplishment of the above - described services, the total cost would be $9,000.00 payable in monthly increments over a minimum period of six months. Thank you for the opportunity to participate in your records improvement program. Sincerely l Marjor e Lindamood O.rg P.S. As a matter of logistics, there " approximately 60,000 pieces of material in your office that will have to be audited, purged and indexed to active or inactive status in the new system.
